Title: Budget/Expense Coordinator

Position Responsibilities:
Accounting (25%):
  • Create, develop and submit to CT management, appropriate and accurate financial related accrual forms.
  • Coordinate with functional budget coordinators to track vendor scheduled payments monthly.
  • Prepare and submit monthly JVs (journal entries).
  • Research expenses within monthly Hyperion retrieves.
Budget/Forecast (35%):
  • Monitor monthly variance against Budget for all teams
  • Support annual budget preparation and reporting as necessary.
  • Prepare and deliver financial summaries that report actual results and forecasts.
  • Communicate expected financial impact to CT Managers / CPOs and Accounting/Budget team for changes between forecasts
  • Create and maintain Budget Tracking worksheets by team, research and review variances with managers and TMS Finance
  • Company car – coordinate annual budget to vehicle services and monthly monitoring of actuals
  • Upload Annual Budget and quarterly forecasts using Excel template and Hyperion Smart View retrieve
    • Quarterly forecasts (June, September, December)
    • Annual Budgets (January – February)
JRN Tracking (15%):
  • Prepare and maintain master JRN tracking schedules for Job Requests issued from Japan
  • Monitor expenses for JRN related Purchase Orders
  • Prepare and submit monthly JRN invoicing to include hours and dollars submitted from CPOs
  • Confirm Job Completion reports for each JRN are filed timely by CPOs
  • JRN Management reporting as determined
SOWs / Procurement (15%):
  • Verify Supplier SOW fee tables for accuracy and prepare SOW scheduled payment worksheets to accompany purchase requisitions; Communicate with Contracts team regarding errors and required EC approvals
  • Prepare and submit requisitions for Purchase Orders
  • Monitor requisitions through CT Management approval process and communicate with the Procurement Department to obtain status regarding issuance of purchase orders.
  • Review invoices for payment in Coupa, track against approved P.O.s to monitor sufficient balances
  • Track invoice approval requests to ensure signatures are obtained in a timely fashion for prompt payment.
  • Communicate with vendor representatives
  • Assist with documentation for EC requests, including cover sheets and related schedules
Procedures (10%):
  • Prepare requests for new Department IDs and Project codes
  • Maintain and update documentation of current accounting and budget procedures
Other Special projects:
  • As needed
Requirements
  • Strong focus on quality and detail
  • Advanced ability with Excel, including pivot tables and VLOOKUPs
  • Experience with Hyperion
  • Experience with SAP
  • Strong understanding of accounting concepts, including accruals and budgeting
  • Strong written and verbal communication skills, including a collaborative mentality
  • Strong ability to collaborate with team members and managers to meet deadlines
  • Ability to multitask and work in a fast-paced environment
  • Familiarity with contracts to obtain relevant data, such as amounts and due dates
